Reservation process

Please read our Reservation policy prior to placing your request.

  • Submit your request to roombookings@guelphpl.ca, including:
    • Contact details
    • Intended use
    • Group size
    • Preferred date(s) / location(s)
  • You will be notified once your request has been reviewed and approved by Guelph Public Library staff.
  • Follow the link in your reservation email to verify the details of your request.
  • Submit payment in full at least 2 weeks prior to your reservation.

We look forward to offering more reservation opportunities in 2027, following the opening of our New Central Library.

Fee Schedule

Fees are based on the room size. A not-for-profit rate is available, unless admission fees or donations are being collected. All fees are subject to HST.

  • $30/hr
Not-for-profit hourly rate:
  • $20/hr
Equipment (hourly rates):
  • LCD projector: $20/hr

  • Lectern (table top): $2/hr

  • Microphone and speaker: $5/hr

  • Easel whiteboard: $2/hr

Additional Services:
  • Setup assistance: $30

  • Technical support: $30

Penalties:
  • Non-sufficient funds charges: $25+

  • Failure to vacate: $50/15 min

Room reservation FAQ's

  • Spaces are prioritized for library-related programming. After those needs are met, any individual (18+), community group, non-profit, or business can request to reserve a space for educational, cultural, or leisure purposes. All bookings are subject to Library approval.

  • Use of space must align with the Library’s atmosphere, values, limitations of the physical space, and should not interfere with regular library operations. Activities that would be considered inappropriate include:

    • Private social functions (e.g., parties, showers)
    • Trade exhibitions
    • Religious services
    • Direct sales of products or services

    Controlled substances, open flames, and incense are not permitted. View our Code of Conduct policy for more information about how users can maintain a safe, shared space at the Library. 

    Exceptions to prohibited activities may be made by submitting a written request to the Library CEO for special consideration.

  • You are responsible for your own setup and cleanup. Additional setup services may be arranged for a fee.

  • No. Use of library spaces by any group or organization does not constitute endorsement by the Library Board of that group’s beliefs or policies.

    Unless the event is co-sponsored by the Library or receives approval from the CEO, your promotional materials must clearly state your group’s name and include the disclaimer:

    “This program is not sponsored by the Guelph Public Library and the Library carries no responsibility for its content.”

    • We require a minimum of two weeks' notice for a new booking.
    • You can book a space up to 6 weeks in advance, for a maximum of 4 consecutive bookings.
    • All requests will be reviewed by a Guelph Public Library staff member, who will contact you within two working days (Monday to Friday 9 am to 5 pm).
    • Your space will be held, but the booking is not official until you receive confirmation from Guelph Public Library staff, and your payment is processed.
